Cancellation Policy

At Travel Diaries Group, we reserve the right to cancel or amend any booking made by you, the customer, if necessary, without prior intimation or reasons. Such a scenario may arise due to certain circumstances beyond our control (see Force Majeure events).

As is our policy, we will do our best to find and book alternate options for your trip with us and confirm the dates beforehand. However, please note that the company will not be held liable and will not compensate you or any third party for any damage, expense, or business loss incurred by you due to the amendment or cancellation of your tour package, booked by you, with us.


BOOKING CANCELLATION BY YOU:

If you wish to cancel any tour package booked by you, it is mandatory to notify us via email at info@traveldiariesgroup.com. Only after the receipt of this email by the staff at Travel Diaries Group will it be deemed that your communication has been received by us.

The cancellation charges as having been intimated by us at the time of booking shall apply, irrespective of the reason for cancellation, including pregnancies and medical emergencies. By agreeing to these terms, you understand and acknowledge that the charges mentioned above are genuine and have been calculated, taking into account an estimation of the damages that we will incur on account of this cancellation.

In the case of group bookings, your cancellation charges might be higher on account of the higher losses incurred by us, and extra charges which cannot be levied upon the other group members who still wish to travel. In your best interest, we will try to mitigate the loss and keep the charges to the minimum, in accordance with the terms of this cancellation policy.

By agreeing to these terms, you univocally state and understand that the aforementioned cancellation charges mentioned to you before the finalization of the itinerary will be paid by you without any disagreement or dispute. In the event that the tour is 100% confirmed and delivered, please note that we will levy 100% cancellation charges.


CANCELLATION DUE TO REFUSAL OF VISA


Our role is to only act as the facilitator for the obtaining of visas. The granting or rejection of visas takes place at the sole discretion of the respective embassies, and we shall, under no circumstances, be held accountable for the refusal of said visa and any other loss, expense, damage, or cost incurred by you, whether incidental or consequential.

It is your duty to submit a clear copy of the Visa that’s been granted to you by the embassy. If the rejection of the Visa is conveyed to you by the embassy within the aforementioned cancellation period, the cancellation charges will be applicable.

In this case, you will be required to submit a copy of the Refusal of Visa from the Embassy for the purpose of verifying the applicable cancellation charges due to this reason, however, if you choose to re-apply for the Visa, the cancellation charges, if any, will be borne by you from the date of the second refusal if that is the case.

If we do not receive any prior intimation from the Embassy regarding the acceptance of your visa application before the confirmed departure date, maximum cancellation charges shall apply and be borne by you.


CANCELLATION DUE TO FORCE MAJEURE

Travel Diaries Group will not be held liable or in breach of this agreement, for the delay in performance, non-performance, or underperformance of any obligations to you, to the extent that the cause for the delay, non-performance, or underperformance, is due to Force Majeure events.

Force Majeure refers to any circumstance that is beyond reasonable control, including but not limited to natural calamities, war, strikes or labor disputes, acts of God or nature, interruption of transportation facilities, threats and acts of terrorism, pandemics, epidemics, quarantine, government actions, travel advisory or warning by government officials, civil disturbances, host destination’s cancellation or inability to implement the package as per prior agreements, full or partial lockdowns, and any other circumstance that occurs beyond the scope of control of our company.

By our sole judgment, if any event is deemed commercially inadvisable, difficult, illegal, or impossible from the standpoints of logistics, safety, health, or finance, it may stand to be canceled under the terms of this Cancellation Policy.


CANCELLATION FOR BALANCE PAYMENT


Your tour package booked with us is subject to cancellation following the failure to deposit the balance payment for the package even after subsequent requests. In this case, we reserve the right to cancel your package and retain the balance amount, if any, after adjusting the advance.

Once the cancellation is underway, any amount to be refunded will be remitted to you via a cheque drafted in the name of the person, under whom the booking was made. We will not consider a request to remit the refund, if any, to the account of any third party. We will also not consider any request for remittance in cash, as this goes against our company’s policies.

PROCESSING CHARGES

We hold and shall exert our right to charge a processing fee amounting to then percent of the total package cost, even if you withdraw or cancel your booking within 5 minutes after confirming the booking reference number, as intimated to you, by us. Once you convey your confirmation, normal cancellation charges will be applicable, subject to the terms in this Cancellation Policy.
